Database Design Tab

Classic Interface

The following section presents the Database Design Tab and outlines its main functions.

In the Database Design tab you can define the basic components (such as Project, Partners, Users, Locks, Targets) that build your data structure and design your actual Forms and Activities.

To reach the Database Design Tab select from the Database List the Database you want to work with or select a Database from the Database Grid and click on the "Edit" button on the Database Toolbar.

Database List

You can find the Database List at your left in the Database Design Tab. In the Database List you have an overview of all the Databases which you have access to. You can select from that Database List the Database you wish to work with.

Database Pages

Design Page

The Design Page is where you can create and edit your Forms and Activities, and organize them into Folders.

Form and Activity Grid

The Form and Activity Grid is where you can find a list of all the Forms and Activities you have designed or you have access to design.

Here you can also view the Folder(s) to which an Activity or a Form belongs.

Design Toolbar

You can create and edit your Data Structure using the Design Toolbar.

For Forms, you can use the Design Toolbar to:

  • Create a new Form
  • Navigate to the Form Designer
  • Navigate the Table View for the current Form or Location Type
  • Delete a Form

For Activities, you can use the Design Toolbar to:

  • Create a new Activity
  • Create a new Location Type
  • Add or Remove an Attribute Group to an Activity
  • Add or Remove an Attribute to an Attribute Group
  • Add or Remove an Indicator to an Activity
  • View a Location Type
  • Delete a Location Type
  • Delete an Activity

For Folders, you can use the Design Toolbar to:

  • Create a new Folder
  • Delete a Folder

As well as manually creating your Data Structure, you can Import a predesigned schema.

You can also export your Database design for use by others by:

  • Exporting a complete Database Schema
  • Exporting a Form as XSLForm
  • Exporting a Database Audit log

Details Side Panel

You can find the Details Side Panel on the right hand side of the Design Page.

In the Details Side Panel you can:

  • View the Properties of an individual Folder, Location, Form or Activity (including Indicators and Attributes) by selecting them.
  • Edit the Properties of an individual Folder, Location, Form or Activity (including Indicators and Attributes) by clicking on them.
Partner Page

On the Partner page of the Database Design Tab you can define the partner organizations who participate in your Database. Then, you can assign Users to them.

Partner Grid

In the Partner Grid you can view a list of the Partners contributing to your Database. 

More specifically you can:

  • View the Partner's Name
  • View the Partner's Description
  • Sort Partners in ascending or descending order
  • Select which columns you want to appear

By default, ActivityInfo provides a "Default" Partner for all databases. 

Partner Toolbar

Using the Partner Toolbar you can:

  • Add a Partner to your Database
  • Edit a Partner's details
  • Delete a Partner
Users Page

On the Users page of the Database Design Tab you can invite Users to your Database and control their access level. This is where you can set Permissions for their access to Databases, Folders and Forms.

If you want to assign Users to Partners, you need to add the Partner before inviting your Users.

Users Grid

In the Users Grid you can view all of the Users invited to contribute to your Database.

More specifically you can :

  • View the Name and Email of the invited User(s)
  • View the Partner the User is assigned to
  • View User(s) Permissions for Folders
  • View and change User(s) Permissions for Databases and Folders
  • Sort Users in ascending or descending order

You can navigate through pages of users with the arrows at the bottom of the tab. You can hit refresh to update the list of users.

Users Toolbar

Using the Users Toolbar you can:

  • Invite a User to your Database
  • Edit User details, including Permissions and Folder Access
  • Remove a User from your Database
  • Export a list of Users
  • Copy email addresses to clipboard to create a mailing list
Locks Page

On the Locks Page of the Database Design Tab you can lock Databases, Folders, Activities or Sub-Forms and Projects to prevent invited Users from adding or changing data.

Locks Grid

In the Locks Grid you can view all of the Locks set on your Databases, Folders, Forms and Projects.

More specifically you can:

  • View a Lock
  • View the details of a Lock (Type, Scope, Start Date, End Date)
  • Activate or deactivate a Lock
  • Sort Locks in ascending or descending order
  • Select which columns you want to appear

Locks Toolbar

Using the Locks Toolbar you can:

  • Add a Lock for a Project, Form or Database
  • Delete a Lock
  • Save your Lock or discard your changes
Project Page

On the Project page of the Database Design Tab you can manage your Projects. This allows Users who make a Form Record submission or a Site submission to link it to a specific Project.

Projects Grid

In the Projects Grid you can view all of the Projects defined on your Database.

More specifically you can:

  • View a list of all your Projects
  • View the Name of the Project
  • View the Description of the Project
  • Sort Projects in ascending or descending order
  • Select which columns you want to appear

Project Toolbar

Using the Project Toolbar you can:

  • Add a Project and set its Description
  • Edit a Project
  • Delete a Project
Targets Page

On the Targets page of the Database Design Tab you can define what Targets you want to reach with your Project. Targets are added to Quantity Indicators and can be used in Reports.

Targets Grid

In the Targets Grid you can view all of the Targets defined for your Indicators.

More specifically you can:

  • View Targets
  • View the details of Targets (Project, Partner, Time Period)
  • Sort Targets in ascending or descending order
  • Select which columns you want to appear

Targets Toolbar

Using the Target Toolbar you can:

  • Create a Target
  • Edit a Target
  • Delete a Target

Target Value Panel

On the Target Value Panel you can:

  • Set the Target Value for an Indicator
  • Edit the Target Value for an Indicator
  • Remove a Target Value for an Indicator
